When creating a new employee profile for staff members, assigning the proper role is crucial to ensuring that their system permissions match their responsibilities.

Within Chronogolf, there are three employee roles: manager, assistant, or booking agent. Given that the three have vastly different permissions, think carefully about how you assign each role.

On one hand, it is important for decision makers and those that are well-versed in Chronogolf to have access to the entire system through a manager role. This allows them to react quickly to any operations issues and focus on providing excellent customer service.

On the other, employees with more limited responsibilities are often not as familiar with the software, and only need the core functionality offered by the assistant or booking agent role. Part timers, starters, and various others don't need to be overwhelmed by features and settings, so these roles are perfect for them!

Let's break down the major differences between the three roles:

Managers

Managers can access every module. Within those sections, they can create, edit, modify, and apply settings. A brief overview of each section:

Onboarding (at the beginning of the setup)*

In the onboarding module, only managers can complete preliminary setup activities and check off each section as it has been completed.

Tee Sheet

The tee sheet module offers core day to day functionality for managers, assistants, and booking agents. Creating, moving, recurring, and modifying tee times can be done by anyone. That also goes for editing player types, searching players, and applying packages or coupons. All roles are able to mark players as arrived, no-show, or raincheck, enter credit card information and process a charge, and delete bookings.

In the edit tool, managers can block, unblock, squeeze, delete, and promote tee times.

Only managers are able to send email and SMS notifications from the tee sheet.

Rights and Green Fees*

Only managers can create, add, or delete tee times. They also have full control of all price sheets their assignment to specific day and date ranges. Within price sheets, only managers can configure price rules for green fees and carts and assign all time restrictions.

Events*

Only managers can create and edit tournaments and events.

Customers

Both managers and assistants have access to the customer base. Edit customer information, sell packages and subscriptions, manage house accounts including making payments, and add credit cards.

Promotions

Managers and assistants are able to generate promo codes, sell and track packages and their usage, and create and manage online deals.

Reports*

Only managers have access the reporting section for data on Statistics (Key Metrics and Occupancy), Customers (Segmentation, House Accounts, Subscriptions), and Reservations (No-Show Reporting).

Radar*

Only managers can access the Radar module, in which Chronogolf automatically alerts you on key events needing your review such as expriing or failed subscriptions.

Settings*

Only managers can make modifications in this section for the golf club, the course, employees, player types, product types, package types, sales taxes, membership and service products, online booking, tee sheet settings, house accounts, TV mode, custom fields, and integrations.

Assistants

Assistants can only access 3 key modules: Tee Sheet, Customers, and Promotions. A brief overview of each section:

Booking agents do not have access to Edit Mode in any capacity (blocking, unblocking, squeezing, deleting, or promoting tee times).

While booking agents can search for players to add to a reservation on the tee sheet, they do not have access to the customer base or detailed customer profiles.*
